Trade show booth traffic estimation tells an exhibitor how many people to expect, how many staff to bring, and how many of those conversations will still be worth something in six months.
The core formula:
Booth Visitors = Total Show Attendance × Your Share of Attendance × Location Multiplier
Your share is what the Booth Size dropdown sets, and it is really two things multiplied together:
Share = Aisle Traffic % × Stop Rate
Aisle traffic is the fraction of attendees who walk past you at all, which is mostly about where in the hall you are. Stop rate is the fraction of those who actually stop, which is about the booth: a 10×10 pipe-and-drape stand and a 20×20 island running a live demo do not halt the same proportion of a passing crowd. Multiply the two and you land in the 3 to 18% bands the dropdown offers.
Worked example: 8,000 attendees. 30% of them walk your aisle, and 20% of those stop.
Passersby = 8,000 × 0.30 = 2,400 Stops = 2,400 × 0.20 = 480
Now come at it from the other direction: 0.30 × 0.20 = 6%, which falls inside the 10×20 Inline band (5-8%). Pick that option with 8,000 attendees and an average location, and the calculator returns 520 visitors. Two different routes to the same ballpark, which is about as much precision as this estimate deserves.
Then the funnel narrows, three times:
- Contact details captured. Typically 40-60% of the people who stop. The rest are badge scans, students, competitors, and people who wanted directions to the coffee.
- Genuine buying intent. 20-40% of those contacts, and this is the number exhibitors flatter most.
- Deals that eventually close. 5-10% of qualified leads, over a sales cycle that usually outlives the show by several months.
All three are boxes above rather than fixed numbers, because they swing wildly with what you sell. A $200 SaaS seat and a $400,000 CNC machine do not share a funnel. Leave a box empty and the calculator uses the mid-range figure and says so.
Location matters, but less than the floor plan salesperson says Corner and end-cap positions genuinely draw more traffic, which is why they cost more. The honest range is roughly 15 to 30% more passersby, not the 2 to 3 times you sometimes see quoted. Position relative to the entrance, the keynote hall and the food court moves the number more than corner-versus-inline does. A corner in a dead back aisle is worth less than a plain inline booth on the main artery.
