Event budget planning helps you estimate the total cost of an event and understand how much each attendee effectively costs. This works for corporate conferences, weddings, parties, fundraisers, and any organized gathering.
The formulas:
Subtotal = Venue + (Food per Person × Attendees) + Entertainment + Decorations + Miscellaneous
Total Budget = Subtotal + 10% contingency
Cost per Attendee = Total Budget / Number of Attendees
What each category covers:
- Venue is the rental fee for the space, including any required deposit or overtime charge.
- Food and drink per person covers catering, beverages, dessert and service staff. Usually the largest variable cost, and the one that scales with headcount.
- Entertainment means speakers, DJs, bands, performers, or AV equipment rental.
- Decorations and setup covers flowers, table settings, signage, lighting and venue dressing.
- Miscellaneous is photography, printing for programs and name badges, insurance, permits and transportation.
Typical budget allocation percentages:

These are shares of the subtotal, before contingency, and they are a sanity check rather than a rule. A conference with a keynote speaker blows past the entertainment band on purpose. A wedding runs hot on food and nobody minds. The calculator flags each category that falls outside its band so you can decide whether the reason is deliberate.
Practical example: For 150 attendees with a $3,000 venue, $45 a head for food, $1,500 entertainment, $800 decorations and $500 miscellaneous, the subtotal is $3,000 + ($45 × 150) + $1,500 + $800 + $500 = $12,550. A 10% contingency adds $1,255, bringing the total to $13,805, and the cost per attendee is $92.03.
Run that through the table above and the food line is 53.8% of the subtotal against a 30-40% band. That is not necessarily wrong, but it does tell you where a cost cut would actually move the number: shaving $5 a head saves $750, while halving the decorations saves $400.
Tips: Set the contingency to 10% for a familiar event and 15% for anything with an unknown in it. Get final headcounts at least a week out, since most caterers charge per confirmed guest whether or not they show up. Negotiate package deals with venues that include tables, chairs and basic AV, because splitting those into separate line items is how a budget quietly grows by a fifth.
