Fixed costs versus per-guest costs

This is the distinction that makes a party budget behave. Food and goodie bags scale straight with the headcount. The cake barely does, since most of the price is in the making rather than the size. Decorations and an entertainer do not scale at all, because a magician charges the same for twelve children as for twenty.

So the guest list is the lever. Cutting the cake is not.

Worked example: An entertainer party for 18 kids in a rented community room, with these figures entered:

  • Food and drinks: $10 a guest × 18 = $180
  • Cake: $45
  • Decorations: $70
  • Goodie bags: $5 a guest × 18 = $90
  • Entertainer: $250
  • Venue rental: $200
  • Total: $835, or $46 per guest

One more child costs $15, because only food and a favour bag scale. Drop the list from 18 to 12 and you save $90. Drop the entertainer instead and you save $250 in a single move. That is the trade-off worth thinking about before you start comparing cake prices.
