Event Photography Estimate

Estimating how many photos a photographer should take at an event, and how many of those to deliver, is a balance between coverage and the post-processing hours it buys you.

Shot count estimation formula: Raw Photos Shot = Event Duration (hours) × Average Shots per Hour

Delivery ratio: Delivered Photos = Raw Photos Shot × Cull/Delivery Rate

Typical professional cull rate: 10–20% of shots taken are delivered to the client.

Average shots per hour by event type:

  • Wedding ceremony: 150–250 shots/hour
  • Wedding reception: 100–180 shots/hour
  • Corporate headshots: 40–80 shots/hour
  • Portrait session: 80–120 shots/hour
  • Family session (1 hour): 100–200 shots total
  • Sporting event: 300–600 shots/hour (burst mode)
  • Concert: 200–400 shots/hour

Worked example: 8-hour wedding on heavy coverage

The calculator works in bands rather than a single rate, because no photographer shoots at a constant pace all day. Heavy coverage is 200–300 frames an hour, so:

Raw shots = 8 hours × 200–300/hour = 1,600–2,400 raw images Delivery rate = 15% Delivered gallery = 240–360 photos

That lands in the range most wedding photographers actually hand over, which is 300–500 edited images for a full day. If your number comes out far below that, either the coverage band is too light or the cull rate is too aggressive.

Storage planning

The calculator assumes about 40 MB per RAW file. That suits a modern 24–45 MP full-frame body shooting uncompressed or lossless-compressed RAW. Older or lower-resolution cameras produce 25–30 MB files, and a 60 MP body will push past 70 MB, so scale the storage figure if your camera sits outside that middle band.

At 40 MB, 2,000 frames is roughly 80 GB for the day. High-quality JPEG runs 8 to 12 MB instead, and the calculator uses the top of that band, though shooting JPEG-only at a paid event is a decision you cannot undo in post. Plan for at least two copies on separate cards or drives before you leave the venue. Card failures are rare and career-ending.

One thing the card count above does not assume: that the number printed on the card is the number of gigabytes on it. A card sold as 64 GB holds 64 billion bytes, which your camera sees as about 59, and formatting takes a little more. The estimate uses 93% of the label, the same figure the memory card capacity calculator uses, so a day that comes out at 118 GB needs three 64 GB cards rather than the two a straight division suggests.

Post-processing time

The estimate here uses about 4 minutes per delivered photo, which is the pace of genuine individual editing: exposure, white balance, a crop, some skin work. On that basis 300 photos is around 20 hours, and that is the number to quote a client when you promise a delivery date.

You can go far faster with a preset applied across the whole set and only a handful of hero images finished by hand. That style runs 60–100 photos an hour, which turns the same 300 into 3–5 hours. Both are legitimate workflows and they differ by a factor of four or five, so decide which one you are selling before you promise a turnaround.
