Trip Cost Estimate

Road trip cost estimation combines fuel cost, food, lodging, tolls, and optional costs like attraction fees and vehicle wear. The core fuel formula is:

Fuel Cost = (Total Distance / Fuel Economy) × Fuel Price Per Gallon

Total Trip Cost:

Total = Fuel Cost + (Nights × Hotel/Night) + (Days × Food/Day) + Tolls + Misc

Fuel Cost Breakdown:

Gallons Needed = Distance (miles) / MPG Fuel Cost = Gallons × Price/Gallon

Worked example: a 1,400-mile round trip, family of four, four days, three nights.

  • Vehicle: SUV averaging 26 MPG, fuel at $3.45/gallon
  • Fuel needed: 1,400 ÷ 26 = 53.8 gallons
  • Fuel cost: 53.8 × $3.45 = $185.77
  • Tolls and parking: $160
  • Lodging: 3 nights × $115 = $345
  • Food: 4 days × 4 people × $20 = $320
  • Total: $1,010.77, or $252.69 per person

Look at the proportions rather than the total. Fuel is 18% of that trip. Everyone plans a road trip by working out the gas, and the gas is the smallest line on the list. Lodging and food together are more than triple it, and they are the two you can actually change: one fewer hotel night saves more than a 10 MPG improvement in the vehicle.

Vehicle wear, which almost nobody counts. The 2024 IRS standard mileage rate is $0.67 per mile, and it exists precisely because driving costs more than fuel. Depreciation, tyres, brakes, and servicing all accrue whether or not you notice them.

1,400 miles × $0.67 = $938

That is not money leaving your account this week, which is why it feels unreal, but it is the honest cost of putting 1,400 miles on a car. Set it against the price of flying and renting before you decide driving was the cheap option.

Rough figures if you are budgeting before you have booked anything

These move constantly and vary enormously by region, so treat them as a starting point and replace them with real quotes as soon as you have them.

Booking accommodation 2 to 4 weeks ahead usually saves 15 to 25% against walking up, and splitting one room between a couple roughly halves the accommodation line outright.

The 15% buffer in the result covers parking, state park entry, attraction tickets and the general tax of being on holiday. It is shown separately rather than folded into the total so you can see what is planned and what is padding. Allow for the car as well: an unexpected tyre or a minor repair runs $100–300, and it always happens on a Sunday.

What actually saves money: midweek hotel nights run $20–$40 cheaper, and a cooler in the boot cuts food spending by a third. That cooler is the single biggest lever on the list above.

Slowing down is the one that sounds right and is not. Dropping from 80 to 65 mph does improve economy by 10 to 15%, but on the 1,400-mile example that is about $23 of fuel, and it costs you four hours: 1,400 ÷ 65 is 21.5 hours against 17.5 at 80. Four hours for $23 is under $6 an hour, which is a worse rate than almost anything else you could do with the time. Slow down because it is safer and less tiring, not because it saves money.
