Wedding Invitation Count Calculator

Invitation count differs from guest count because couples and families share one invitation. A household of four gets one invitation, not four.

The formulas:

Total guests = Singles + (Couples × 2) + (Family Households × Avg Family Size) + Plus-Ones

Invitations needed = Singles + Couples + Family Households

Order total = Invitations needed + 10–15% buffer

Worked example: You have 20 single guests, 30 couples, and 10 family households (average 4 people each), plus 5 plus-ones.

• Total guests = 20 + 60 + 40 + 5 = 125
• Invitations = 20 + 30 + 10 = 60
• Add 10% buffer = 6 extra
• Order total = 66 invitations for 125 guests

RSVP acceptance rates:

• Local weddings: expect 75–85% acceptance, and the calculator uses 80%
• Destination weddings: expect 40–60% acceptance, and the calculator uses 50%
• Friday or Sunday weddings: typically 5–10% lower than Saturday, so shade the figure down

Those are blended averages over a whole list. If you know how the list splits between people who live nearby and people who have to fly, the guest list calculator takes that split and works the two groups separately, which is the more accurate way round. It uses 90% local and 65% out-of-town for a standard wedding, which blends to about 82% on a typical two-thirds-local list, so the two pages land in the same place.

When to send invitations:

• Standard wedding: 6–8 weeks before the date
• Destination wedding or holiday weekend: 10–12 weeks before
• Save-the-dates (optional): 4–6 months before for any wedding; 6–9 months for destination

How many extra should you order? Always order 10–15% more than you calculate. Reasons: printing mistakes, addresses that turn out wrong, envelopes damaged during addressing, last-minute additions to the guest list, and keepsakes for the couple, parents, and wedding album. Invitations from the same print run are almost always cheaper than a second short-run reorder.

Addressing tips: Address invitations to the specific people invited, not “and family.” For couples, use both names on one envelope. For households with adult children living at home, send a separate invitation to each adult if they are individually invited. This avoids confusion and signals clearly who is and is not included.
