Wedding Seating Chart Calculator

A seating chart calculator helps you determine how many tables you need, how to fill them, and whether your venue can physically accommodate your guest count with the table sizes you’ve chosen.

The Core Formulas:

Tables Needed = ceil(Total Guests / Seats Per Table)

Floor Space = Seats × 15 sq ft at a round table, or × 12 at a long one

That per-seat figure already contains the chairs and each table’s share of the aisle beside it, which is why you multiply by seats rather than drawing a square around every table. Drawing squares counts the aisle between two tables twice and overstates the room by about a fifth.

Standard Table Sizes:

These are the same figures the venue capacity calculator divides a measured room by, so the two pages agree from opposite directions: this one builds the room up from your guest list, that one works out what a room you have already walked will hold.

Long farmhouse and harvest tables seat 8 to 12 depending on length. They are popular for rustic and garden weddings and they seat a room more efficiently than rounds, but they fix who talks to whom for the whole evening: at a round table everyone can see everyone, and at a 20-foot harvest table you get the two people either side of you and nobody else.

Circulation Rule: Allow at least 60 inches (152 cm) between table edges for comfortable guest and server movement. Fire codes typically require 36 inches (91 cm) minimum.

Everything else that needs floor space:

• Dance floor: 4.5 sq ft (0.42 m²) per dancer, and about 40% of guests are up at once
• DJ or band setup: 100-200 sq ft (9-19 m²)
• Bar: 40-60 sq ft (3.7-5.6 m²), plus somewhere for the queue
• Cake table: 12-16 sq ft. Gift table: 12-16. Guest book: 6-9
• Buffet line, if you are having one: 100-200 sq ft (9-19 m²)
• Head table: 20 sq ft per person, because it is served from one side and needs 3-4 feet of clearance behind the chairs

Worked Example:

• 120 guests attending
• 60" round tables seating 8 each
• Tables needed = ceil(120 / 8) = 15 tables
• Floor space for those = 120 seats × 15 sq ft = 1,800 sq ft
• Add a dance floor for 48 dancers at 4.5 sq ft each, 216 sq ft, and about 240 sq ft for the bar, cake and DJ
• Total roughly 2,260 sq ft, or 19 square feet of room per guest

Layout Tips:

• Reserve 1–2 seats per table for last-minute RSVPs or no-show swaps
• Place the head table or sweetheart table where it has clear sightlines to the dance floor
• Keep elderly guests and families with young children near exits, and away from the speakers
• Seat guests with dietary restrictions near the kitchen for easier service
• Number tables from the front: guests find lower numbers first
• Put the children together at their own table with something to do, and put it where a parent can see it

Who sits with whom Keep families together, but break friend groups up across two or three tables rather than recreating everyone’s existing social circle at a single one. The reception is the only time most of these people will ever be in a room together. A sweetheart table for two is the easiest head-table decision and the one couples most often say they were glad they made, because a long bridal table means eating in front of an audience with your back to half the room.
