Party Supply Calculator

Nobody uses one plate at a party. That single assumption is why people run out, and it is what this calculator is built around.

The formula:

Items = Guests × Items per guest × 1.15

The 1.15 is a buffer for the plate someone puts down and loses, the cup that goes in the bin half full, and the friend who brings a friend. Fifteen percent sounds generous until you are the one driving to the shop mid-party.

Items per guest, by event type:

The shapes differ more than the totals. A cocktail party burns through cups and napkins because people put a drink down, lose it, and get another; it barely touches cutlery. A sit-down dinner is the reverse. A kids’ party needs napkins for reasons that need no explanation.

Worked example. 25 guests at a sit-down dinner:

• Plates: 25 × 3 × 1.15 = 87
• Cups: 25 × 2 × 1.15 = 58
• Napkins: 25 × 3 × 1.15 = 87

Then the shop only sells packs. The calculator picks the pack size that wastes the least, which for 58 cups is four 16-packs (64) rather than two 50-packs (100). Buying by the biggest pack is the default assumption and it is usually the wrong one.

What tends to go wrong:

• Cups, always. People do not track their own cup. At anything with drinks, cups run out before everything else. If you buy extra of one thing, buy cups.
• Buying by the guest count rather than the item count. Fifty guests does not mean fifty plates.
• Forgetting serving utensils. They are not in the count above, and a buffet needs a spoon or tongs per dish.
• Ice. Also not counted here, and roughly a pound per guest for a party with drinks.

On the environmental side: if you are hosting the same people regularly, a set of real plates pays back fast against these quantities, both in money and in what ends up in the bin. Disposables earn their place at genuinely large events and outdoors, not at a dinner for eight.
