Wedding RSVP planning involves predicting how many guests will actually attend based on the invitation list, accounting for the expected acceptance rate by guest category. Overestimating leads to wasted catering costs; underestimating means not enough food, seating, or wedding favors.

Expected Attendance formula: Expected Guests = Σ (Invited in Category × Acceptance Rate for Category)

Acceptance Rate by Guest Category (typical US wedding, 2024):

• Local guests (within 30 miles): 85–95% acceptance rate
• Out-of-town guests (30–200 miles): 65–80% acceptance rate
• Destination wedding guests (200+ miles or international): 40–60% acceptance rate
• Elderly guests: may accept but have higher last-minute cancellation rate (~10–15%)
• Guests with young children: typically 70–80% (logistics-dependent)

Those category rates are what you use before the replies come in. This calculator works the other way round, from the replies you already have, which is the harder and more common problem: the deadline has passed, some cards came back, and a stubborn group never answered at all.

What the calculator does with non-responders It assumes 65% of silent guests turn up anyway. That number surprises people, but non-response is rarely a polite no. Most of it is guests who lost the card, assumed a verbal yes counted, or meant to reply and forgot. Planners who track it find a clear majority of silent invitees walk through the door. Treating silence as a decline is the single most expensive mistake on this list, because you cannot add ten covers on the morning of the wedding.

Worked example: 180 invited, 95 replied yes, 45 replied no, 40 never answered.

• Response rate: 140 of 180 = 78%
• Accept rate among those who replied: 95 / 140 = 68%
• Expected from the 40 silent guests: 40 × 0.65 = 26
• Estimated attendance: 95 + 26 = 121 guests
• Plan for, with a 5% buffer: 128 guests

Multiply the buffered headcount by your own quoted per-plate price. RSVP deadline best practice: Set the deadline 3–4 weeks before the wedding. Then phone the non-responders, one by one. Every card you convert from silence to a real answer replaces a 65% guess with a fact, and the guess is what is costing you money.
